With its headquarters on the Gold Coast, over 4,000 employees and an annual turnover of in excess of half a billion dollars, JELD-WEN Australia has a reputation for quality and service which it also demands from its technology solutions and partners.

The challenge: Restrictive invoice generation

Operating in more than 80 locations across Australia, the company was restricted by its invoice and statement generation process. Data was entered at a local level, and pushed over the company network to the head-office located Enterprise Resource Planning (ERP) system, before then being returned to the local office for processing and distribution, resulting in delays.  Moreover, invoice statements were printed on dot-matrix printers on multi-page forms, which lacked the professional look and quality of the brands they represented.

JELD-WEN were seeking a solution that would streamline their invoice printing and distribution which did not require any form of customisation to their ERP software, with the resulting implementation providing benefits in cost cutting, time-savings and quality improvement.

After a thorough evaluation of JELD-WEN’s requirements, infrastructure and financial system database structure, the local Ricoh Business Partner and Ricoh specialists developed a tailored solution that included the national roll-out of 100 Ricoh MFDs to replace their existing dot-matrix printers and a customised Variable Data Printing (VDP) implementation.

With the VDP implementation, the company are able to draw data directly from JELD-WEN’s ERP system to create pre-designed invoice or statement forms which are then automatically distributed by either fax, email or across the WAN to the local Ricoh MFD.

With the Ricoh VDP and MFD solution, JELD-WEN invoices and statements are now being generated with a professional look that better reflects the high profile name of each of its companies. Large volume batches are now processed and distributed in a fraction of the time. Also, the ability to choose a distribution method via email or fax has eliminated additional costs and delays involved in printing and traditional mail.

The solution has provided the company with savings in costs, time, waste and complexity.  The benefits of the solution are still being realised: With the ability to draw variable data from virtually any data source, the Ricoh VDP solution is set to become a powerful tool within JELD-WEN.
